Volunteer, Chaperone, and Visitor Requirements

Volunteers and chaperones play an important role in supporting PVSD students, programs, and schools. In accordance with California Education Code §35021 and Board Policy/Administrative Regulation 1240, all volunteers and chaperones must be screened and authorized before beginning their assignments.

Under Senate Bill 848, certain adult volunteers and chaperones who interact with students outside the immediate supervision and control of a parent/guardian or school employee are considered mandated reporters. PVSD requires volunteers and chaperones with direct student contact to complete Mandated Reporter Training annually.

Steps to Become a Volunteer or Chaperone

Before beginning your assignment:

  1. Review the Portola Valley School District's Volunteer Guidelines
  2. Submit the Volunteer Agreement and Authorization Form and TB Risk Assessment Form to your school office.
  3. Complete Live Scan fingerprinting as directed by the school office. You may use the Live Scan Service Locator to find a provider.
  4. Complete the assigned Mandated Reporter Training and review Regulation 5141.41: Prevention of Sexual Misconduct and Abuse in Schools.

Mandated Reporter Training

After you submit your Volunteer Information Agreement and Authorization Form, the school will provide your name and personal email address to the District Office.

You will receive an email with registration and login instructions for the Mandated Reporter Training Website. Complete the assigned training before your first volunteer activity and provide your certificate of completion to the school office.

Completion of the training does not, by itself, authorize an individual to volunteer. All required forms, clearances, and approvals must be completed before volunteer service begins.

Visitors

Visitors attending school events or meetings who remain appropriately supervised and are not assigned responsibility for working with or supervising students are not required to complete the volunteer onboarding process.

All volunteers and visitors must sign in at the school office, wear the appropriate badge while on campus, and sign out when leaving.

Contractors and outside service providers are not considered volunteers and must comply with the separate requirements applicable to their work.
